Employee Retirement: Sensitive Information Check Required

Retirement is an exciting time, and there are so many tasks to complete before that final day. One of those tasks is transferring work and project files, sensitive data and Outlook work emails back to the department.

It’s also vitally important to conduct one last check to ensure that all sensitive work data is completely removed from your ECU Outlook mailbox, personal devices and ECU storage (emeritus only).

Why this is important

Retiring staff continue to have access to Outlook email as long as they log activity within the first year of retirement. Emeritus faculty keep access to Outlook, OneDrive, Piratedrive, Office suite downloads, Teams and other Microsoft 365 apps and services.

You’ll basically be using these tools as personal accounts, and any sensitive data could be unprotected and vulnerable if a hacker gains access.

What you need to do

Therefore, we ask that once you transfer work files to your department, department chair or supervisor, you also make one last review and ensure all sensitive files have been transferred or deleted.

The Sensitive Data Storage and Transmission page in the ECU Data Governance website is a great guide in determining if there is any information you need to delete or transfer.
