Computer Data and Email- Exiting Employee
Supervisors should request and transfer work-related data files from exiting employees before their last day. For example, if an employee maintains a department’s expenditures spreadsheet, that spreadsheet should be transferred to the department’s piratedrive folder or another employee before the last day.
However, it is sometimes necessary to retrieve work-related data from an employee’s work computer after their last day of employment.
To Request Email Data
It is sometimes necessary to obtain a terminated employee’s email files. The department first contacts the university attorney’s office for approval. The attorney’s office then contacts ITCS to obtain the email files.
To Request Computer Files
To request such data files (not email), the department chair must submit an IT service request. The requested files are then moved to the department’s Piratedrive folder, and the computer can then be re-imaged before assignment to another employee.
